Bilingual Office & Wish Coordinator - English/Spanish

Summary

To fulfill the wishes of children with critical illnesses by overseeing office operations and providing general support to the wish team.

Responsibilities

Wish Department Support (approximately 60% of job function):

  • Manage the onboarding process for newly eligible children & their families.
  • Help manage the pipeline of waiting wishes through direct communication with families and volunteers
  • Work with wish families & volunteers to get appropriate paperwork completed.
  • Manage the collection and organization of wish photos and scrapbooks.
  • Provide administrative support to Wish Department as needed.
  • Ensure adequate supply and manage ordering of wish-related supplies (shirts, buttons, balloons, etc.)
  • Distribute monthly surveys to wish families and record responses in our database

Wish Management (approximately 10% of job function):

  • Coordinate all details of wishes by meeting appropriate deadlines and adhering to national and chapter policies, guidelines and standards. Work with other chapters as needed. Maintain wish files in accordance to national standards.
  • Develop individual wish budgets for review and approval.
  • Limited on-call role (one out of every six weeks) shared with program staff.
  • In conjunction with volunteer manager, facilitate assigning wish granters and airport greeters for wishes.
  • Maintain regular communication with wish granters and work with volunteer manager to address any communication issues.

Office Management (approximately 30% of job function):

  • Answer general phone line for all incoming calls and manage the process of greeting visitors coming to the office
  • Manage office voice mail and magic@ email account
  • Open the mail with another staff member and assist in distributing mail to staff
  • Opening duties for office (when not remote)
  • Update administrative forms (i.e. birthday, anniversary, phone lists)
  • Order name badges and business cards to office

Development:

  • Provide limited staff support for fundraising opportunities associated with wishes.

Communications:

  • Collaborate with director on communications related to wish-specific media opportunities.

 

Requirements
  • Fluency in both English & Spanish
  • Computer Proficiency: database, internet and MS Office – Word, Excel, Outlook, required.
  • Excellent oral and written communication skills.
  • Proficiency in demonstrated time management skills required.
  • Collaborative work ethic with strong interpersonal and problem-solving skills.
  • Ability to maintain sensitive personal information in a confidential manner.
  • Must be able to lift 20 lbs.
Education & Experience
  • Associate/BA Degree, advanced training or equivalent office-based work experience.
  • Demonstrated 2 years experience in general office work experience.
