Responsible for assisting the Mission Delivery department with executing the goals and objectives of the Wish Granting, Medical Outreach and Volunteer Programs teams, assisting in all areas that need support.

Responsibilities

Major responsibilities include but are not limited to:

Wish Granting:

  • Conduct research for unique project and item wish types.
  • Manage, plan, and supervise a caseload of wishes.
  • Plan wishes while working closely with wish families, volunteers, and vendors.
  • Coordinate all specific aspects involved with the wish, including but not limited to working with contractors, installation dates, transportation, accommodations, services, assisting chapters, medical equipment, liability forms, and itineraries.
  • Manage wish data and electronic files on each child to ensure compliance with National Standards and Chapter guidelines.
  • Establish a wish budget within the guidelines set forth by the Chapter’s budget, receive approval on all budgets by Director of Wish Granting with additional review where needed by the Chief of Staff.
  • Monitor progress of each assigned wish and ensure the wish proceeds in a timely manner.
  • Provide proper reporting and back up, i.e. credit card authorizations, purchase orders, gift in-kind forms.
  • Administer and file all procedures required for completion of a wish.
  • Effectively perform crisis communication and reflective listening techniques with wish families.
  • Provide written record of all communications for each wish (telephone calls to families, volunteers, medical teams and/or vendors, emails, follow-up, etc.).
  • Follow up with medical authorization forms as needed.
  • Handle routine phone calls and emails for Wish Granting information.
  • Other duties as assigned.

Intake/Medical Outreach:

  • Support intake procedures, including acquiring and processing required paperwork. 
  • Assist with referrals by creating electronic files and inputting information into Raiser’s Edge database.
  • Help with follow up on medical eligibility and authorization forms.
  • When international travel is possible, support families needing passport or visa assistance.
  • Help with the creation of Medical Outreach initiatives and with sending wish feedback to medical teams, executing referral drives, and compiling information for update email blasts to referral sources.
  • Help maintain written record of all communications for each wish (telephone calls to medical professionals or families, emails, follow-up, medical notes, etc.).

Volunteer Programs:

  • Assist where needed in helping to conduct virtual wish declaration visits with wish children.
  • Lend support with monthly and quarterly check-in calls with families to move all wishes along in the wish-granting process; including but not limited to, status of the wish child, encouraging a wish declaration, follow up on outstanding paperwork, passports, and other forms of identification needed.
  • Support volunteer program with implementing a virtual training program, background checks, filing, and following up with prospective candidates.
  • Help ensure a written record of all communications for each wish is kept (telephone calls to wish families or volunteers, emails, follow-up, etc.).
  • Attends Volunteer Continuing Education Training sessions to support volunteer department.

General:

  • When gathering in groups is permitted again, represent Make-A-Wish New Jersey at annual events; work as a liaison and support figure for wish families who are in attendance.
  • Maintain sensitivity and confidentiality to families being served by the Foundation.
  • Adhere to Make-A-Wish® America/ Make-A-Wish® New Jersey performance standards and policies.
  • Other duties as assigned.
Requirements
  • Fluency in Spanish, preferred.
  • Ability to manage and prioritize multiple tasks effectively.
  • Provide excellent customer service and representation of Make-A-Wish to external supporters and all wish families.
  • Fulfill wishes and interact with families in a compassionate and caring manner, sensitive to the challenging circumstances that may be present in families’ lives.
  • Able to successfully work in, motivate, and support a collaborative, team-oriented organization.
  • Commitment to and a passion for the mission of Make-A-Wish New Jersey.
  • Confidentiality and personal integrity are essential.
  • Experience with developing and implementing creative solutions to time sensitive work.
  • Proficient computer skills in Microsoft Office and database management (preferably Raiser’s Edge and/or Salesforce).
  • Self -motivated, creative, problem-solving team player with excellent organization and interpersonal skills required. Confident, polished, and professional presentation and communication skills.
  • Flexibility with hours for night/weekend planned events and wish family emergencies.
  • Must pass background check.
Education & Experience
  • Bachelor’s degree required.
  • Related work experience (1-3 years) in social services concentration.
