The Operations and Finance Specialist will be an important member of the Make-A-Wish Foundation of Central and Western NC Finance and Operations Team.
The Operations and Finance Specialist provides essential administrative, financial, human resources, and operational support to ensure the efficient day-to-day functioning of the organization. This position is responsible for managing internal accounts payable, supporting audit and financial documentation requirements, coordinating employee onboarding and benefits administration, assisting with recruiting and internship programs, and maintaining operational systems and records.
The Operations and Finance Specialist serves as a key internal resource for staff by supporting technology needs, employee training compliance, database management, and organizational processes while delivering exceptional customer service to volunteers, donors, board members, wish families, staff, and community partners. This role requires strong attention to detail, organizational skills, professionalism, and the ability to manage multiple priorities in a fast-paced nonprofit environment.
• Maintains a professional presence and rapport at all times in interactions by phone or in person with volunteers,
donors, board members, wish families, staff, and the community at large.
• Manage Accounts Payable on a weekly basis including vendor setup, check request coding, obtaining approvals, and processing payments.
• Supports new employee onboarding activities during first 90 days including setting up necessary training,
benefits, collecting paperwork, etc.
• Manages job postings, resume inbox and support during hiring process as requested by hiring manager.
• Schedules annual HR training and/or policies and handbook reviews.
• Supports all aspects of benefits management including enrollment, invoice review, payments, staff questions, etc.
• Coordinate operational requests including certificates of insurance, system access, background checks,
SharePoint access, etc.
• Manages all Interns including onboarding, technology, and other needs.
• Completes quarterly program/event inventory reporting.
• Processes and submits Development/Leadership/Operations PNC expense reports monthly.
• Assists AR with stewardship as needed during event season.
• Serves as primary internal technology coordinator including equipment procurement, deployment, inventory
management, user support and coordination with external IT.
• Ensure compliance with organizational financials policies, internal controls, and audit requirements.
• Performs other duties as assigned.
• Associates degree / Bachelor’s degree preferred.
• Exemplary customer service skills, positive attitude, poise, and caring professional.
• Excellent organizational skills and attention to detail, as well as the ability to manage time and adhere to
deadlines.
• Knowledge of Microsoft Office programs and general office equipment.
• A high level of sensitivity when dealing with staff, donors, board members, volunteers, and wish families.
• Must be adaptable, self-motivated and able to work with minimal supervision in a fast-paced environment.
• Valid driver's license and access to consistent, reliable transportation.
This is a hybrid position, Monday-Friday from 8:00 a.m. to 5:00 p.m., working in the office two+ days a week.
