This position serves as the Chapter’s Salesforce subject-matter expert and data steward, responsible for ensuring the accuracy, consistency, and usability of constituent and gift data across the organization.
This role is hands-on and operational, focused on Salesforce data governance, reporting, list management, gift entry oversight, and staff training. The Database Manager partners closely with fundraising, program, and operations staff to ensure Salesforce data is clean, well-structured, and trusted for decision-making, donor communication, and compliance with National standards.
This is not an IT or software development role. It is ideal for someone who enjoys being the “go-to” person for Salesforce data, reports, and best practices in a mission-driven organization.
Salesforce Data Stewardship & Governance:
- Serve as the chapter’s primary Salesforce administrator and data steward, ensuring data hygiene and accuracy.
- Performs ongoing data monitoring and maintenance, including duplicate management, record cleanup, and quality checks.
- Document data standards and procedures to support accurate reporting and reliable list segmentation.
- Partner with Make-A-Wish America (National) as the chapter’s Salesforce data liaison, participating in data stewardship activities and implementing required standards and updates.
Reporting, Lists & Data Requests
- Build and maintain Salesforce reports and dashboards used by staff and leadership for fundraising, program, and operational decision-making.
- Create and clean accurate mailing and email lists, including donor segmentation for appeals, events, and campaigns.
- Collaborate with staff to ensure reports and lists are interpreted correctly and used appropriately.
- Respond to ad hoc data and reporting requests.
Gift Entry Oversight
- Oversee the gift entry process to ensure timely, accurate, and complete recording of cash and in-kind gifts in Salesforce.
- Serve as backup for cash gift entry as needed and review batches for accuracy and adherence to standards.
- Supervise and support the Gift Entry Specialist, including training, quality control, and process improvement.
- Enter and process all in-kind gifts.
Training & Internal Support
- Act as the Salesforce expert for staff, creating and maintaining training, documentation, and one-on-one support.
- Help non-technical users understand how to enter data correctly and why standards matter.
Required
- Hands-on Salesforce experience managing constituent and gift data in an organizational setting.
- Demonstrated experience with:
- Creating and maintaining Salesforce reports and dashboards
- Pulling and validating mailing and email lists
- Managing data quality, accuracy, and consistency
- Strong attention to detail and commitment to data integrity.
- Experience training or supporting users in Salesforce or similar CRM systems.
- Some experience supervising staff or leading day-to-day work.
- Excellent communication skills and a customer-service mindset.
Preferred
- Experience working in a nonprofit or mission-driven organization.
- Familiarity with fundraising, donor data, or gift processing workflows.
- Experience documenting procedures or data standards.
- Exposure to Power BI or other reporting tools (can be trained).
