Make-A-Wish Greater Bay Area creates life-changing wishes for children with critical illnesses. Together with generous donors, supporters, staff and volunteers, Make-A-Wish delivers hope, strength, and joy to children and their families when they need it most. Since 1984, our chapter has granted more than 10,000 wishes in our Northern California territory, stretching from Monterey County to the Oregon border.

The Wish Alumni, Volunteer & Operations Coordinator plays an intricate role with the Wish It Forward (WIF) alumni, volunteer service, and operations programs to continue to facilitate our mission of granting more wishes through development initiatives and volunteer services. The WIF program aims to build an engaged, impactful alumni community who dedicate their time, experience, and financial support to expand our reach and foster continued growth, while also working with our Volunteer and Operations team to assist in fulfilling our mission of granting wishes and office operations.  The coordinator keeps the group engaged through feedback, regular communication, and network building, in addition to facilitating activation of our volunteer. This position reports directly to the Director of Alumni & Volunteer Services, with input from our operations, volunteer, development, mission, and marketing teams.

The Wish Alumni, Volunteer & Operations Coordinator is a strong team player who can handle multiple tasks simultaneously with input and collaboration across different departments. This role requires relationship-building skills, some experience in fundraising, and the ability to help manage volunteer committees & logistics. The coordinator has strong judgment, communication, and decision-making skills, and understands the needs of Make-A-Wish families, volunteers, and supporters.

This full-time, hourly position is required to work in the Make-A-Wish Greater Bay Area office at least 2 days a week on Tuesdays and Wednesdays, as part of the current hybrid work model, subject to updates and/or changes in schedule.

Responsibilities

Wish It Forward Program Coordinator

Work closely with colleagues in Volunteer, Marketing, and other teams to coordinate resources and implement the Alumni program throughout the wish granting process to achieve maximum effectiveness and results. Help create meaningful touchpoints and experiences for the alumni community to ensure mutual value-add throughout what will hopefully be a life-long engagement.

  • With the Marketing team, support our Wish Ambassadors story sharing program, including recruitment and placement of ambassadors
  • Coordinate alumni and family involvement in internal, external, corporate, and community events and other opportunities, particularly Walk for Wishes peer-to-peer fundraising
  • Assist in developing, executing, and delivering program communications and collateral in partnership with Marketing and Director of Alumni & Volunteer Services, ensuring that all work reflects positively on the brand, including the Wish It Forward e-newsletter
  • Maintain membership and share content with our WIF Facebook group, contribute to other social media efforts to grow and engage our WIF members
  • Set WIF Council meetings, schedules, and agendas in coordination with the Director of Volunteer Services
  • Prepare meeting support materials
  • Support and attend cultivation, fundraising, and friend-raising events, which will require occasional evening and weekend work hours
  • Data entry around contacts, meetings, and other important information in the Salesforce CRM
  • Manage offers of in-kind donations of tickets for families, alums, volunteers, etc.
  • Other duties as assigned

Volunteer Coordinator

  • Works directly under the guidance of the Director of Alumni & Volunteer Services
  • Assist with the onboarding of new volunteers and orientations
  • Assist volunteers and student associates on online volunteer recruitment posts; volunteer inquiries and waiting lists; new volunteer application process
  • Assist in volunteer data tracking and compliance updates w/ Director
  • Scheduling recurring volunteer meetings, ending reminders, and other related Zoom Meetings for wish interviews
  • Administrative data entry for volunteer activity and records management
  • Monitoring a shared mailbox to ensure that wish interviews are scheduled in a timely manner
  • In coordination with the Director, follow up with “observer” volunteers after their first wish interviews
  • Assist in assignment of volunteers to wishes
  • Assist in volunteer recognition initiatives
  • Sending and tracking invitations for appreciation events, attending events
  • Assisting with onsite volunteer management at fundraising events
  • Other duties as assigned

* This role is assisting the Director of Alumni and Volunteer Services in specific responsibilities while a team member of the Volunteer Team is out of office through approximately mid-year calendar year 2026; reallocation of volunteer duties and responsibilities to be updated and subject to change

Operations Coordinator

  • General administrative and office support
  • Assist in communication and coordination between departments
  • Maintain data tracking sheets as needed
  • Data and Salesforce entry as needed across teams
  • Assist teams in initiatives and upcoming events
  • Flexible support for special project or time-sensitive organizational needs
  • Other duties as assigned
Requirements
  • Able to communicate clearly and professionally with many audiences, including wish families, staff, volunteers, and community partners
  • Strong customer service skills; professional demeanor in person and on the phone
  • Strong organizational skills; able to deliver on short- and long-term goals
  • Excellent computer skills, including experience with Microsoft 365 applications
  • Ability to travel (drive/get access to transportation), dependent on organizational needs, within our 17-county territory
  • Available to work a varied schedule; occasional evenings and weekends to ensure coverage at events
Education & Experience
  • 1-3 years of relevant experience in an office environment, preferably including non-profit administrative, volunteer programs, and/or office operations experience
  • Bachelor’s degree preferred
  • Salesforce or other CRM experience preferred
  • Council/committee management experience a plus
