Office and Database Manager 

JOB TITLE: OFFICE/DATABASE MANAGER 

REPORTS TO: PRESIDENT/CEO 

STATUS: EXEMPT; FULL-TIME 

LOCATION: OMAHA, NE

GENERAL STATEMENT OF RESPONSIBILITIES: 

The Office/Database Manager plays a critical role within Make-A-Wish Nebraska, requiring a blend of operational, technical, and interpersonal skills. The individual in this role will contribute significantly to the organization's ability to fulfill its mission by ensuring efficient administrative processes and strong donor relationships. Reporting directly to the President/CEO and working closely with Development staff, Accounting and other staff.  The individual in this role will handle the day-to-day operations with a focus on efficiency and time management.  This position is responsible for supervising administrative staff/volunteers and streamlining administrative procedures (greeting visitors, answering phones, opening mail, preparing daily deposits, managing/ordering office equipment/supplies, etc.), administrative staff/volunteer supervision and task delegation.  This position is involved in all aspects of donor tracking, including managing donor database, donor recognition programs and working with development staff on all donor relations and fundraising event activities.  This individual must be able to deal with a wide variety of contacts from within and outside the organization, working closely with staff, donors, volunteers and wish families.  

POSITION QUALIFICATIONS: 

  • 5+ years’ experience in a management or operations role for a non-profit organization or similar professional setting 
  • Experience managing day-to-day administrative operations and administrative staff supervision  
  • Understanding of general finance and accounting preferred 
  • Donor database and donor recognition experience, Salesforce and Power BI experience desirable 
  • Ability to communicate effectively in both oral and written styles; must possess strong grammatical skills and maintain a high level of accuracy in all work 
  • Quick, efficient and accurate data entry and typing skills 
  • Organization and high-level computer skills, including data entry (Salesforce), Word, Excel 
  • Must be able to work with little or no supervision and in an environment with frequent interruptions and short deadlines 
  • Must be able to make sound decisions relevant to all aspects of donor and office management 
  • Well-organized use of time and resources 
  • Demonstrates attention to detail and quality 
  • Demonstrates required technology skills and adapts well to new technologies and procedures   
  • Delivers excellent customer service to both internal and external customers, acts as a collaborative teammate and leads by positive example 
  • High level of confidentiality; willing to submit to a background and credit check 

DUTIES AND RESPONSIBILITIES: 

  • Provide support for all functions of Chapter President/CEO 
  • Supervise Office Assistant, Database Specialist and office volunteers. 
  • Serve as the Salesforce Chapter Database Steward and as liaison for all database services questions and information sharing with staff 
  • Manage office operations to ensure administrative tasks are accomplished efficiently and effectively to include phones, mail, deposits, correspondence, office supplies, print materials, etc. 
  • Provide general IT support of logins, passwords and rights concerning network access, emails, faxes, printers, Salesforce and SharePoint, acting as a liaison with National IT support when necessary 
  • Manage staff/volunteer schedules and troubleshoot scheduling conflicts as they arise 
  • Manage all aspects of donor tracking, including managing donor database (input, reporting, etc.), donor thank you’s and recognition programs, as well as working with development staff on all donor relations and fundraising event activities.   
  • Create mailing lists from Salesforce as requested by staff for internal events, direct mail appeals, newsletter mailings, etc., in a timely and efficient manner.   
  • Provide support for development staff for internal and external fundraising events. 
  • Act as a resource/liaison for all staff with donors, donations, wish families and volunteers and process any related inquiries. 
  • Supervise all gift batch entry and batch processing in Salesforce.  Complete any necessary adjustments as needed. 
  • Assist in solving NetSuite accounting system integration errors and work with Bookkeeper on reconciling NetSuite with Salesforce on a monthly basis and providing additional assistance to Bookkeeper for audit purposes. 
  • Work with Program, Marketing and Community Outreach staff as necessary to further the mission of the organization. 
  • Attend Board of Director meetings, taking minutes and communicating with the Board of Directors as necessary. 
  • Adherence of national standards, chapter policies and guidelines. 
  • Other responsibilities as assigned by the President/CEO.

Internships

Thank you for your interest in Make-A-Wish® Nebraska's internship program! Internship opportunities are open in the Omaha, Lincoln and Kearney offices every fall, spring, and summer semester depending on availability.  

All of our internships are unpaid, however, volunteer hours and academic credit may be earned. Interning at Make-A-Wish Nebraska can provide valuable training and experience with non-profit work. 

Internships are open to students or recent graduates (18-years-old or older). Successful applicants should have good organizational skills, the ability to multi-task, be proficient in Microsoft Office, and have excellent communication skills.

Intern’s roles and duties

Interns will work primarily with our Development Staff and will participate in a variety of hands-on activities including event planning support, research, filing, and writing. 

Specific duties include, but are not limited to: 

  • Assist with event logistics 
  • Help coordinate auction items 
  • Help write thank you notes to donors 
  • Help with mailings 
  • Conduct fundraising research 
  • Reach out to potential vendors 
  • Other tasks as needed
