Donor Care Associate (Data Entry)

Reports To: Donor Care Manager

Purpose of Position:

The Donor Care Associate is responsible for high volume data entry, gift letters, airline miles, address changes, email unsubscribes, mailing lists and assisting with keeping the donor database accurate/up-to-date.

Essential Duties/Responsibilities:

· Ensures that process documentation is kept accurate, current and easily accessible/understood

· Assists in all the processes surrounding data entry of donors & gifts

· Assists in the data entry and processing of InKinds, Benevity, and Wheels donations

· Monitors and inventories the Toy Closet – processes all inbound Inkind donations into the Toy Closet

· Assists the Director of Operations with monitoring and assisting with Wish Family PNC Cards – loads and unloads

· Donations processing functions include, but not limited to: donor care phone calls, direct mail, national portal for online, airline miles, vehicle donations, address/email changes/unsubscribes and all outgoing receipts, gift letters, and mailing lists

Other Duties/Responsibilities:

· Assists with other development department activities, as assigned by Supervisor

· Represents Make-A-Wish Arizona at selected events as assigned

· Supports the production of standard and custom reports (weekly, monthly, on-demand) and works with staff/consultants to identify standard reports that could be generated by staff on their own

· Check Requests

· Required to work in the office 3 days a week

· Performs other duties as required

Job Qualifications:

Experience in database entry and management (experience in Raiser’s Edge and/or Sales Force is preferred, but not required)

· Proficient in MS Word, Excel, Access and web-based tools for research

· Excellent organizational skills and attention to detail, as well as the ability to manage time and adhere to deadlines

· Evidence of strong initiative, self-direction, flexibility and ability to complete tasks in a timely manner

· High level of sensitivity when dealing with confidential gifts and constituent information

· Experience in Business Process Documentation and Database Relationship Management

· Experience in working in a team setting; ability to work well with others

Development Coordinator

Reports To: Chief Development Officer

Purpose of Position:

The Development Coordinator will work within the organization to assist various department leaders. Our ideal development coordinator is passionate about advancing Make-A-Wish Arizona initiatives through actively assisting in all aspects of fund development and marketing such as developing fundraising plans and proposals, maintaining donor relationships, and securing new ones, including funding and sponsorships. Additionally, this position will assist and help coordinate with various business partners and event’s organizers. This position will require a candidate with a flexible and fluid work style and the ability to work with multiple levels of leaders while organizing and prioritizing projects. Additionally, the Development Coordinator will be involved with supporting activities related to non-profit fundraising and relationship management

Essential Duties/Responsibilities:

· Coordinate activities across different areas of the development team, such as cause marketing, events, stewardship, and CRM initiatives, ensuring smooth workflow throughout the year.

· Take charge of fundraising endeavors, including sourcing items for auctions and securing in-kind donations on a year-round basis.

· Assist in crafting proposals and exploring new event opportunities to expand the organization's fundraising efforts.

· Identify prospective donors through thorough research and take proactive steps to initiate sponsorship and funding opportunities.

· Coordinate all aspects of fundraising events, from initial planning stages to execution, ensuring all tasks are completed efficiently and effectively.

· Collaborate with management and the development team to oversee project workflows and monitor day-to-day milestones, stepping in where necessary to support project progress.

· Cultivate positive relationships with current and potential business partners to foster ongoing support for the organization's initiatives.

· Work closely with the marketing team to develop and enhance marketing plans for events and programs, ensuring alignment with fundraising goals.

· Collaborate effectively with team members to promote and advance the organization's initiatives, leveraging teamwork to achieve common objectives.

· Demonstrate the ability to prioritize tasks and manage multiple milestones and projects efficiently to meet fundraising goals effectively.

· Exhibit strong written and interpersonal communication skills when interacting with customers, sponsors, and other stakeholders, maintaining a professional demeanor at all times.

· Bring experience in planning and executing large-scale events and fundraisers, utilizing this expertise to drive successful fundraising initiatives.

Job Qualifications:

· Excellent written and verbal communication skills are essential, along with knowledge of communication principles and practices to effectively interact with donors, sponsors, team members, and other stakeholders.

· Proficiency in data entry systems and reporting tools is necessary to accurately track fundraising activities and donor information.

· Knowledge of social media platforms (Facebook, Twitter) and website management is required to promote fundraising events and initiatives effectively.

· Demonstrated interest and willingness to learn about development practices and become an impactful development professional.

· Proficiency in MS Office programs (Word, Excel, Outlook) is necessary, along with experience using databases. Knowledge of Salesforce CRM is advantageous.

· Ability to prioritize tasks, multitask, and follow through with minimal direction to meet deadlines and achieve fundraising goals.

· Attention to detail, strong project management skills, and organizational abilities are crucial for coordinating fundraising events and activities effectively.

· Willingness to pitch in and support team members wherever necessary to ensure the success of fundraising initiatives.

· Ability to create outstanding presentations, including proficiency in PowerPoint. Knowledge of Adobe Creative Suite is a plus, enhancing the ability to create visually appealing materials for fundraising campaigns.

· A Bachelor's Degree in a related field or 1-3 years of experience working in fundraising or project organization is preferred.
