Job Summary: Responsible for overseeing all aspects of the referral and eligibility process to ensure all referred children are expedited through the process and extending a welcome to Make-A-Wish.  Specialist serves as a member of the team in supporting coworkers and supervisors in accomplishing the Chapter objectives set forth by Vice President, Mission and Operations and President and CEO.

Responsibilities
  • Coordinate intake and referral process, ensuring that benchmarks and measurements are on target with national best practices and standards including proper data entry, documentation, and necessary oversight for appropriate coordination of referral documentation.
  • Evaluate referral trends and identify new referral markets, strategically determining the best outreach methods.
  • Initiate intake calls with wish families to set expectations and answer initial inquiries around the wish process.
  • Execute all paperwork meetings with all Greater Virginia wish families to ensure the process is completed accurately and addresses all questions.
  • Employ excellent customer service when serving the wish families and all constituents.
  • Serve as the primary contact for wish families before the planning of their wish.
  • Identify innovative ways to reach wish families and communities.
  • Build strong ongoing relationships with referral sources to keep Make-A-Wish top of mind.
  • Proactively engage in process and policy improvement efforts by staying informed of National policies, guidelines and resources related to referral and eligibility efforts.
  • Coordinate and conduct outreach/referral educational sessions, presentations, and mass communications.
  • Develop and coordinate ongoing referral source appreciation and recognition efforts.
  • Develop strategy to build relationships with and better engage Chapter Medical Advisors.
  • Coordinate with staff and volunteers on execution of chapter marketing efforts.
  • Recruit, train and engage volunteer medical advisors.
  • Communicate with health care professionals, volunteers and family members ensuring all required authorizations are received.
  • Help identify and solve wish procedure issues to increase the quality of the wish experience for wish kids, families, volunteers, donors, and staff.
  • Assist in duties needed at internal and external fundraising events as needed.
  • Perform all other duties as assigned.

Wish Process Responsibilities

  • Make introductory intake call to family once child is deemed eligible to learn more about the wish kid and to discuss next steps in the wish process.
  • Own the wish granting process until the wish is ready to be assigned to wish granter volunteers., including but not limited to gathering signatures for families and updating our database (Salesforce).
  • Update and keep current wish data base and equivalent paper files for each wish child.
  • Keep abreast of current wish policies, procedures and guidelines and stays updated on changes that may occur.
  • Create and send medical forms for the approval on certain wish types.
  • Protect the wish file confidentiality in accordance Make-A-Wish’s policies and procedures.

  • Ability to manage multiple projects simultaneously and achieve objectives

  • Demonstrated ability to present to diverse audiences
  • Efficient time management and prioritization skills
  • Working knowledge of child development and childhood illnesses & treatments
  • Must be social media savvy for research purposes.
  • Database expertise, Salesforce is preferred, Microsoft proficient
  • Excellent customer service skills
Education & Experience
  • 1 - 2 years’ experience in administration, clerical, social work, or child life
  • Bachelor’s degree in social work, child development, or Degree or Certification in Child Life (CL, CCLS), Nursing (RN, LPN), or Medical Social Work (SW, MSW, LCSW) preferred
  • Bilingual (Spanish) a plus
  • Valid driver’s license and reliable transportation
