Summary

Responsible for granting Vegas tourism & celebrity wish assists, granting local wishes, preparing files for closure, and assisting with various wish team administrative tasks.

Responsibilities

 

Wish Assist Coordination

· Coordinating logistics for wish assists (wishes granted in-territory from other chapters like celebrity wishes, I wish to go to Las Vegas, etc.)

o Book hotel rooms and organize transportation

o Communicate with new and existing vendors to solicit in-kind donations

o Book activity options when in-kind donations are unavailable

o Create detailed wish trip itineraries

o Request and manage volunteers for airport greets opportunities

o Research options for new wish types

· Maintain working knowledge of National policies, guidelines, resources, and National sponsors as they relate to wish granting

· Share responsibility of 24-hour wish family emergency line

· Familiarization with local tourist attractions and events in Las Vegas

 

Wish Administrative Duties

· Prepare and submit in-kind for the department’s granted wishes within 60 days of the wish being granted

· Prepare and submit invoice payment requests for the department's wish-related expenses

· Create detailed trip itineraries for upcoming wishes

· Send out a monthly newsletter to local airport contacts notifying them of upcoming travel wishes

· Assist in executing wish-related stewardship for local partners and vendors

· Send post-wish survey on a monthly basis to recently granted wish families, record data, and distribute to appropriate internal departments

· Send monthly text reminders to wish families with upcoming travel

 

Local Wish Granting

· Be bold, brave and committed to making eligible wish kids’ one true wish come true

· Manage wish granting process from medical approval to closure and maintain accurate and current electronic and hard copy wish files in accordance with National and Chapter policies, guidelines and standards

· Create “Humble Request” 1-page reports on wish children for whom you require in-kind or cash resources

· Direct all activities of wish volunteers to ensure impactful wish granting

· Maintain and document communications with wish volunteers and wish families

· Identify and resolve with leadership situations affecting the wish

 

Financial Management

· Manage individual credit card transactions and receipts, and reconcile accounts monthly

· Prepare local wish and wish assist files for financial closing within 45 days of the wish being granted

Requirements

 

· Bachelor’s degree or equivalent office administrative experience

· Excellent time management and organizational skills

· Excellent computer skills required (Microsoft Word, Microsoft Excel)

· Data-entry/customer relationship database experience required. Salesforce experience preferred

· Excellent verbal and written communication skills

· Bilingual in English/Spanish a plus, but not required

· Must be self-motivated, creative, detail-oriented, and excel in problem-solving skills

· Able to prioritize and manage multiple responsibilities with minimal supervision. Project management experience a plus.

· Ability to deal with sensitive information with a high level of trust and confidentiality

· Empathy for a variety of familial and medical situations

· Ability to respond to rapidly changing situations

· Collaborative work ethic with the ability to motivate and support a diverse constituency

· Ability to connect with people and engage others in the mission of the organization
