Job Title: Executive Assistant
Reports To: President/Chief Executive Officer
Classification: Full-time, Exempt
Salary Range: $41,000-$52,000 annually

Job Summary:
Under the supervision of the President & CEO, the Executive Assistant is responsible for the day-to-day administrative coordination of the chapter. This position provides comprehensive and skilled support to the CEO, the Leadership Team, and the Board of Directors.
Executive Assistant to Chapter Leadership
Quarterly
· Assist the President & CEO and Board Chair as needed with board and committee meeting preparations.
· Maintain Board and Committee meeting minutes, assist with minutes and materials in preparation of meetings.
· Send correspondence to all members of the Board regarding Board meetings, conference calls, etc. as needed by the CEO and Board Chair.
· Setup meeting facilities, conference calls and equipment (projector, laptops, etc.) for board and committee meetings, staff meetings and donor meetings as needed.
· Maintain Board member personnel files.
· Assist with Board report cards
Monthly
· Prepare and submit expense reports for the President & CEO
· Coordinate President & CEO travel and calendar.
Weekly
· Serve as the administrator of the OnBoard tool used to manage all board communications, meeting invitations, and announcements.
· Assist with donor stewardship tasks and mailings.
· Prepare event and meeting briefs for chapter leadership.
· Draft correspondence from the CEO to external constituents as needed.

Administrative Support for the Chapter
Quarterly
· Manage annual Conflict of Interest collection for staff and board.
· Manage unique triennial background checks for board.
Monthly
· Collaborate with chapter leadership team to coordinate and execute staff retreat and meetings.
· Organize and maintain inventory of office supplies
Weekly
· Open and distribute mail, create donor logs and process and submit bank deposits. Scan and create deposit support.
· Oversee mailing of donor acknowledgement letters, birthday cards, and other routine correspondence.
· Assist with data entry in Salesforce CRM.
· Assist hybrid staff in supply acquisition, scheduling meetings and scanning mail received in the office.

Preferred Education and Experience
Associate or Bachelor of Arts Degree preferred
4+ years of work experience
Prior Nonprofit experience strongly preferred
Work Environment
In-office primarily. Occasional hybrid work may be permitted after the first year of service with satisfactory performance and prior approval from the CEO. Attendance at offsite meetings will be requested as circumstances demand.

Position Type and expected hours of work
Full-time, 9:00 a.m. until 5:00 p.m. or equivalent hours based on needs. For example: 8:00 a.m. until 4:00 p.m. is acceptable.

Travel
Not anticipated as part of regular duties but may be required for event or special circumstances (board meetings, Wish Night, etc.).
