Summary
Responsible for Major Event Logistics & Support. Corporate Partner Reveal & Events. Internal Events Support. Event Tracking of Invoices and In-Kinds. Peer-To-Peer Fundraising.
Responsibilities
Major Event Logistics & Support
- Works with the development and marketing team to assist and provide support for MAWSNV annual events, internal events, and external events.
- With independent judgment, executes events in accordance with provided budgets
- Helps manage event and venue logistics, vendor coordination, and requests volunteers as needed.
- Collaborates with the marketing team to develop any relevant event-related collateral.
- Maintains accurate records of donors, vendors, volunteers, and contributions in the organization's database. Keep data organized and regularly update donor information.
- Executes and tracks event logistics in Smartsheet and ensures all tasks are up to date.
- Works with the Development team on stewardship actions and tracking.
- Maintains The Wishing Place cleanliness, and inventory of event-related materials in storage unit.
- Provides hospitality support for internal meetings as needed.
Corporate Partner Reveal & Events
- Collaborates with the wish team, volunteers, and vendors to plan and organize memorable corporate wish reveals.
- Responsible for creating the Run of Show and its distribution.
- Assists and helps plan corporate events and fundraisers in alignment with Make-A-Wish Southern Nevada's mission and goals. Coordinates logistics, including venue selection, catering, entertainment, and technical requirements, to ensure successful and impactful events that engage stakeholders and donors.
- Assists with and conducts donor tours at The Wishing Place.
Internal Events Support
- Works with MAWSNV stakeholders on internal events (Donor Appreciation, Volunteer Appreciation, and other events hosted at The Wishing Place) by supporting logistical needs identified by stakeholders and other leaders.
- Helps identify in-kind partners and assists with securing in-kind donations.
- Assists with the creation of the Smartsheet to track event overview, logistics, run of show, and expenses.
- Responsible for the set-up and clean-up of The Wishing Place post-event.
Event Tracking of Invoices and In-Kinds
- Requests and submits for payment invoices and related documents for all events.
- Responsible for the processing of all donated goods or services (in-kind) received for all events.
Peer-To-Peer Fundraising
- Helps execute peer-to-peer fundraising initiatives, leveraging donors and previous event attendees to engage and encourage them to fundraise on behalf of Make-A-Wish Southern Nevada
- Tracks and analyzes the performance of peer-to-peer fundraisers and campaigns.
- Maintains accurate records of peer-to-peer fundraisers, donors, and contributions in the organization's database. Keep data organized and regularly update donor information.
Miscellaneous
- Special projects as assigned.
Supervision
- This position reports directly to the Director of Corporate Partnerships
Requirements
- Bachelor’s degree preferred but not required
- Preferred 1-2 years of project or event coordination experience
- Must possess excellent verbal, written and presentation skills
- Excellent computer skills required (Microsoft Word, Microsoft Excel)
- Smartsheet knowledge preferred but not required
- Must be self-motivated, creative, detail-oriented, and excel in problem-solving skills
- Ability to prioritize and manage multiple responsibilities with minimal supervision
- Ability to deal with sensitive information with high confidentiality
- Excellent communication and customer service skills with the capacity to interact with diverse groups and work successfully in a collaborative, team-oriented environment.
- Ability to connect with people and engage others in the mission of the organization
