Responsibilities

Report & Data Generation

  • Assists full team in proactively providing and communicating data strategically through reports, exports, or dashboards to improve organizational excellence
  • Support development efforts through prospect research, wealth screening post‐import reports, mailings, and other projects that are best served by organizational data
  • Collaboratively work with leadership to provide reports and scorecards for stewardship metrics per donor recognition levels and mailings
  • Update weekly scorecards for the organization, analyzing any oddities/trends/themes
  • Create Power BI reports and train for use from an end‐user perspective
  • Provide national office data as required (e.g. direct mail donor lists)
  • Compile year‐end data for the organization’s Annual Report

Systems Data Steward/Data Integrity

  • Serve as “Subject Matter Expert” for customer relationship database, providing support
  • Oversee and approve imports or batches of constituent data from multiple sources including, but not limited to, daily cash gifts, weekly donated (in‐kind) gifts, volunteer applications, board prospect/nomination forms, donor wealth screening, job applications, and wish child referrals
  • Perform ongoing database clean‐up: addresses, titles, salutations, genders, relationships, deduping
  • Maintain email distribution lists in email platform via export/import
  • Partner with volunteer team to maintain their data system (CERVIS)
  • Ensure timely approval of all cash and in‐kind donations received. Ensure backup supports the valuation
  • Maintain compliance with all data‐related Standards of Use set forth by Make‐A‐Wish America and the guidelines established by the Nevada Chapter

IT & Systems Expertise

  • Prepare and deliver (or delegate) “Digital Literacy” training to staff monthly
  • Serve as the organization’s liaison to the national office for IT
  • Evaluates and inventories hardware and facilitates requests for upgrades and repairs
  • Oversees organization software use (e.g. Smartsheet, Adobe Cloud, Basecamp) for redundancies, cost savings, and efficiencies for staff functions
  • Assists department with staff onboarding/offboarding for all systems

SOP Oversight & Upkeep

Oversees organization's Standard Operating Procedures and ensures they are kept up‐to‐date and relevant

Lead/Manage/Hold Accountable Direct Report

  • Ensures coverage of the info@nv.wish.org email address, forwarding inquiries to appropriate staff
  • Oversees Wish File Closure process ensuring digital wish files include all necessary paperwork, signatures, receipts, and reconciliation to budgets, documenting process failures in appropriate employee files
  • Ensure timely recording and batching of all in‐kind donations received as part of wish granting. Ensure backup supports the valuation
  • Reviews and approves daily gift batches for accuracy (cash and in‐kind)
  • Serves as additional oversight for Wishing Place upkeep, resources and maintenance
Requirements
  • Bachelor’s degree in technology field or 5+ similar years of experience.
  • Staff leadership experience preferred
  • Salesforce & customer relationship database maintenance/integrity experience REQUIRED
  • Proficiency with workplace technology, including MS Office365 (including Power BI), Smartsheet, and web‐based applications
  • General IT and hardware knowledge preferred (basic computer, internet troubleshooting)
  • Excellent interpersonal skills with the capacity to interact with diverse groups in a collaborative, team‐oriented environment; experience training large groups preferred
  • Must be self‐motivated, detail‐oriented, and excel in problem‐solving
  • Ability to communicate complex data in a simple way to facilitate decision‐making. This includes both visual representations of data and speaking and writing about data conclusions
  • Ability to prioritize and meet deadlines across multiple tasks with minimal oversight
  • Ability to deal with sensitive information with a high level of trust, tact, and confidentiality
