Position Summary: Responsible for planning and executing wishes within policies and procedures
ESSENTIAL JOB RESPONSIBILITIES AND DUTIES
Wish Coordination
Be bold, brave, and committed to making eligible wish kids’ one true wish come true! Manage the wish-granting process from medical approval to closure and maintain accurate and current electronic and hard copy with files in accordance with National and Chapter policies, guidelines, and standards. This includes, but is not limited to:
- Brainstorming, delegating to, and assisting volunteers assigned to each wish
- Communicating with wish families directly by phone and email, in both English and Spanish
- Working with local or national vendors for wish needs
- Identifying and soliciting in-kind (donated) resources
- Working with other Make-A-Wish chapters to generate travel itineraries
- Compiling travel itineraries and other wish-required paperwork
- Extensive data entry in Salesforce database (high attention to detail and accuracy required)
- Translate occasional wish family communication to Spanish
- Create “Humble Request” 1-page reports on the wishes of children for whom you require in-kind or cash resources
- Direct all activities of wish volunteers to ensure impactful wish-granting
- Maintain and document communications with wish volunteers and wish families
- Identify and resolve with leadership situations affecting the wish
- Communicate wish information to the appropriate constituents
- Share the responsibility of a 24-hour local wish family emergency line
- Identify media-approved wish children to share our organizational results through marketing efforts
- Maintain working knowledge of National policies, guidelines, resources, and National sponsors as they relate to wish-granting
- Familiarization with international, federal, state, local laws and restrictions impacting program delivery, i.e. travel, transportation, permits, and ordinances
Financial Management
- Develop and manage approved wish budgets as defined in chapter policy
- Manage individual credit card transactions, receipts, and reconcile account bi-monthly
- Prepare and submit all in-kind and cash payment requests
- Reconcile cash and in-kind (donated) receipts to wish files within 60 days of wish occurrence

POSITION QUALIFICATIONS
- Bachelor’s degree or equivalent event-planning experience
- Excellent time management and organizational skills
- Excellent computer skills required (Microsoft Word, Microsoft Excel)
- Data-entry/customer relationship database experience required
- Salesforce experience preferred
- Must possess excellent verbal, written and presentation skills in both English and Spanish
- Must be self-motivated, creative, detail-oriented, and excel in problem-solving skills
- Able to prioritize and manage multiple responsibilities with minimal supervision. Project management experience is a plus
- Ability to deal with sensitive information with a high level of trust and confidentiality
- Empathy for a variety of familial and medical situations
- Ability to respond to rapidly changing situations
- Collaborative work ethic with the ability to motivate and support a diverse constituency
- Ability to connect with people and engage others in the mission of the organization in both languages
