Administrative Specialist - Job Description

Title: Administrative Specialist
Reports To: Chief Operating Officer
Status: Full-time; Exempt
Location: Atlanta, Georgia

Overview of Role:
The Administrative Specialist provides diverse, and confidential administrative support to the CEO of Make-A-Wish® Georgia. Responsibilities include but are not limited to general office duties, travel and expense management, document preparation, calendar management, general e-mail correspondence, and special projects as needed.  The position will interact with board members, donors, office guests and chapter staff.  This role will be part of the Operations team and report directly to the COO.  It is a wonderful opportunity for someone beginning their career in non-profit management or someone who has experience supporting a key executive in a clerical capacity and has a desire to support a mission-based organization. 

 

Essential Functions and Duties:

  • Represents the office of CEO with the highest level of confidentiality, customer service and professionalism by serving as a liaison when working with various board members, leadership team, donors, staff, and volunteers.
  • Provides travel management support and coordination. Prepares travel documents, itineraries, and driving directions for ground travel.  
  • Finalize CEO expense reports and process for payment, securing proper approvals as required 
  • Provides meeting management support by coordinating meeting logistics for internal and external meetings, ensures all resources are prepared for meetings (room, virtual assignments, AV, presenters, agenda, materials, etc.).  
  • Manages long and short-term calendars for the CEO scheduling meetings, conferences, and teleconferences and coordinating schedules with meeting participants. 
  • Oversees CEO mail management, thank you messages, follow up letters, etc. in a prompt and efficient manner. 
  • Prepare materials and presentations for CEO as needed for staff meetings, board of directors, and committees.
  • Maintain professional and helpful relationships with Board of Directors, donors, and key constituents
  • Regularly process the mail by distributing packages and other correspondences, arrange for vendor/volunteer pick up and manage postage funds and stamps. 
  • Manage and keep supply and break rooms stocked, clean and functioning
  • Oversee the office environment for safety, cleanliness, and professional environment

 

  • Welcome guests and connect visitor to appropriate contact and manages general callers to provide brief information and/or to direct to appropriate contact
  • Supports Operations team as needed. 
  • Other duties as assigned

Education, Qualifications and Skills:

  • Passion for the mission and vision of Make-A-Wish Georgia 
  • A Bachelor’s Degree - Nonprofit Administration, Communications or Business preferred.
  • A minimum of 2+ years of experience in a professional office setting 
  • Ability to handle multiple priorities and achieve goals and objectives
  • Excellent written and verbal communication skills
  • Skilled in building and maintaining positive relationships
  • Ability to collaborate effectively with all levels of management
  • Flexibility to work occasional early mornings to support Board Meetings
  • Ability to work in the office 5 days a week
  • Must reside in the State of Georgia
