Responsibilities

Lead/Manage/Hold Accountable Direct Report

 

  • Leads, manages, and holds accountable the Database & Operations Manager to his/her/their job responsibilities
  • Oversee and approve accounts payable entry process, including staff training/access to BillPay online, managing backup on SharePoint, and sending approved/paid invoices to the accounting team for recording
  • Oversee organizational data reporting as generated by the Database & Ops Manager
  • Maintain compliance with all data-related Standards of Use set forth by Make-A-Wish America and the guidelines established by the Southern Nevada Chapter

 

Financial Analysis & Support (Accounting Liaison)

 

  • Act as primary contact to accounting team outsourced to the national office
  • Analyze, research, and comment monthly financial statements from accounting team for board and senior leadership presentation
  • Creates annual Operations Budget (and midyear reforecasts as necessary), monitoring Operational budget-to-actual
  • Responsible for all non-payroll financial audit inquiry responses annually
  • Oversees internal compliance audit responses when received
  • Create Internal Event return on investment (ROI) analysis of revenue, expenses, and staff hours
  • Invoice Wish Assists (reconcile receipts and invoice other MAW chapters for expenses incurred on their behalf for wishes granted in Las Vegas)
  • Responsible for all non-payroll data & narrative prep for third-party annual tax documentation inquiries (Form 990)
  • Organize and oversee biannual time study for classifying staff time for shared expense allocation

 

Project Management Oversight & Auditing

 

  • Audit the project management governance around all workstreams including, but not limited to: Signature Internal Events (Walk For Wishes, Trailblaze Challenge, Fashion Luncheon), wish-granting (each wish as its own project), events at The Wishing Place (e.g., Volunteer Appreciation, Donor Appreciation evenings), and ad-hoc projects
  • Audit project deliverables, timelines, and scorecards, reporting to senior leaders any discrepancies or concerns
  • Oversee staff development & training on project management concepts and applicable tools

 

Human Resources Core Process Oversight

 

  • Oversee and execute Employee Relations recognizing employee events like birthdays, anniversaries, weddings, births, graduations, etc.
  • Assist in onboarding/offboarding staff
  • Maintain HR document management (background checks, annual Conflicts of Interest)

Credit Card Process Owner (wish & staff cards)

  • Responsible for managing chapter credit card process including staff and wish family card ordering, replacement, closure, and troubleshooting
  • Review bimonthly staff credit card expense reports for accurate coding, preparing transaction file for journal entry import
  • Oversee wish family card process ensuring families have proper information and access for using a credit card on travel wishes

 

Requirements

 

  • Bachelor’s degree, preferably in financial field, and 8+ similar years of experience
  • Management or executive leadership experience REQUIRED; Project Management experience preferred
  • Proficiency with technology in the workplace, including MS Office365, databases and web-based applications
  • Customer relationship database maintenance/integrity experience REQUIRED; Salesforce experience preferred
  • Ability to communicate complex data in a simple way to facilitate decision-making. This includes both visual representations of data and speaking and writing about data conclusions
  • Excellent interpersonal skills with the capacity to interact with diverse groups in a collaborative, team-oriented environment; experience training large groups preferred
  • Must be self-motivated, detail-oriented, and excel in problem-solving
  • Ability to prioritize and manage multiple tasks with minimal oversight
  • Ability to deal with sensitive information with a high level of trust, tact, and confidentiality
